Outsourcing Social Media: Questions to Ask When Choosing the Right Team

Outsourcing social media management is often seen as a decision about time and capacity. In reality, it is a decision about who you trust with your brand’s voice, every day. Choosing the right team means looking beyond the portfolio.

Is there a strategy first?

Good social media work starts with a goal before a content calendar. An agency’s first question should not be “How many posts do you want?” but “What do you want to achieve with this channel?” Content produced without a goal stays regular but directionless.

How will they learn your brand’s voice?

For an external team to represent your brand as well as you do, they need to learn your product, your customers and your sector. Regular planning meetings, access to your product team and a written tone of voice guide speed up that learning. Without a defined process, content soon becomes generic and loses its identity.

Is the approval process clear?

It should be agreed from the start which content is approved by whom, and within what time. Unclear approval leads to delays and last-minute changes. A good team presents content in batches and on time, and collects feedback in one place.

What does the reporting look at?

Followers and likes alone say little. A report should show how close you are to the agreed goal and include concrete recommendations for next month. A report is not a presentation; it is a decision tool.

Are rights and responsibilities in writing?

Usage rights to visuals and copy, how ad budgets are managed, confidentiality and data protection should all be clearly set out in the agreement. A clear agreement means trust for both sides.

When working across borders

When working with teams in different countries, practical matters such as language, time zones and invoicing also count. For example, for services provided from Türkiye to businesses in the Netherlands, invoices are issued without VAT and the VAT is reverse-charged to the client. Discussing such details at the start makes the collaboration simpler.

In our social media work, we answer these questions together with our clients in the first meeting. The right start is the strongest foundation for a long-term collaboration.
