Trade show marketing: a practical guide for exhibitors before, during and after the show

A stand is only as good as the marketing around it. Many exhibitors put most of their budget into space, construction and travel, and then hope the right people walk past. Trade show marketing is everything you do to bring those people to your stand and to keep the conversations going after the halls close.

This guide covers the three phases of trade show marketing (before, during and after the show), the materials you need, and how to measure whether it worked.

What is trade show marketing?

Trade show marketing is the planning, messaging, materials and communication that surround your participation in a trade fair or exhibition. It includes inviting the right visitors, telling a clear story on the stand, capturing contacts properly and following up afterwards. The stand itself is one part of it, not the whole.

Before the show: decide what you want, then tell people

  • Set one or two goals: meeting distributors in a new country, launching a product, or strengthening existing accounts. Each goal changes your message and your guest list.
  • Write one clear message: what you do, for whom, and why it matters, in a sentence a visitor can grasp in a few seconds from the aisle.
  • Plan your materials early: stand graphics, product sheets, a short video loop and a landing page take weeks, not days. Our 12-week trade fair preparation checklist gives you the timing.
  • Invite in advance: email your existing contacts, publish on LinkedIn, add the stand number to your email signature and website, and book meetings before the show starts.
  • Prepare the team: who stands where, who takes which meetings, how you note contact details, and what you say in the first thirty seconds.

Trade show marketing materials: what you actually need

  • Stand graphics: a short headline, one strong visual and your logo, readable from several metres away. Less text works better.
  • Product or service sheets: one page per offer, with the specifications buyers ask for. Offer them digitally through a QR code as well.
  • A video loop: a short film or product animation that works without sound, with subtitles, and explains what you do while the team is busy.
  • A landing page: one page for the show with your message, materials, contact details and the option to book a follow-up.
  • Multilingual versions: at international fairs, the main materials in English plus the language of your key market.
  • Business cards and a contact form: a consistent way to capture contacts, with a short note on what was discussed.
  • Giveaways, if any: a few useful, on-brand items rather than many cheap ones.

During the show: be easy to talk to

  • Keep the stand open: no barrier of tables between you and visitors, and a team that is standing rather than sitting behind laptops.
  • Capture every conversation the same way: name, company, interest and agreed next step, entered the same day.
  • Share the moment: short posts and photos on LinkedIn during the show remind your network where to find you.
  • Collect content: photos, short interviews and demo clips you can use for months afterwards.

After the show: follow up while people still remember you

  • Follow up within a few days: a personal email that refers to what you discussed. Our trade show follow-up email templates help you start.
  • Sort contacts by next step: meeting, offer, information or a later follow-up. Your own sales team decides and leads these conversations.
  • Reuse the content: a short recap article, a video, posts with photos from the stand.
  • Write down what you learned: what worked, what visitors asked, and what to change next time.

How to measure trade show marketing

  • Planned meetings held and new conversations started on the stand.
  • Quality of contacts, judged by your sales team: decision-makers, fit, and a clear next step.
  • Follow-up meetings and offers in the weeks after the show.
  • Cost per qualified conversation: total cost of the fair divided by the conversations your team considers worthwhile.
  • Reach of your pre-show and post-show content, and visits to your landing page.

Frequently asked questions

What is trade show marketing?

It is the planning, messaging, materials and communication around your participation in a trade fair: inviting the right visitors, telling a clear story on the stand, capturing contacts and following up afterwards.

How early should I start preparing for a trade show?

Start around twelve weeks before the show. Stand graphics, video, printed materials and invitations all need lead time, and busy visitors often fill their schedules early.

Which trade show marketing materials do I need?

Stand graphics with a short headline, one-page product or service sheets, a subtitled video loop, a landing page for the show, a consistent way to capture contacts and, at international fairs, materials in English and the languages of your key markets.

How do I measure the success of a trade show?

Count meetings held and new conversations, let your sales team judge their quality, track follow-up meetings and offers, and calculate the cost per qualified conversation.
